How does PDF to KSeF XML conversion work?
The converter uses artificial intelligence to read invoices in PDF format - whether they come from an accounting system, a scan, or a photo. The AI recognises the document structure and maps the data to the required schema.
The result is an XML file compliant with the KSeF FA(3) schema, which you can download and send directly to the National e-Invoicing System or import into an ERP system.
KSeF does not accept PDF invoices - only XML files compliant with the FA(3) schema are accepted.
Conversion is performed server-side by an AI model. Your data is not stored after the session ends.

Is the KSeF PDF converter free?

Which PDF files are supported?
You can upload a PDF invoice from accounting software or a scan saved as a PDF. Extraction quality depends on how legible the document is. For a poor scan, prepare a clearer copy.
Can I send the generated XML straight to KSeF?
Check the data and validate the XML first. The converter itself does not send invoices. Use software with the required access or the KSeFGPT app after signing in and connecting to KSeF. KSeF confirms whether the document is accepted.
Can I return to the conversion result later?
The free tool does not provide an invoice history. Download the result if you want to keep it. A KSeFGPT account supports document history within your selected plan.
What if AI reads the data incorrectly?
Compare the preview with the original. If the result contains an error, edit the data where the tool allows it or convert a clearer file again. You can also enter the data manually in the invoice generator.
Which VAT rates can the XML contain?
FA(3) supports VAT rates and designations for different transaction types. Check that the rate or exemption designation extracted from the PDF matches the original and your transaction. The converter does not determine the tax treatment.
How do I send the converted XML to KSeF?
Download and check the XML, then use software connected to KSeF, such as KSeFGPT. You need access and permission to issue invoices for the company concerned. After sending, check the status and UPO receipt.
