What is a KSeF FA(3) XML invoice?
A KSeF FA(3) XML invoice is a structured electronic file compliant with the Ministry of Finance XSD schema, replacing traditional paper and PDF invoices in Poland's National e-Invoice System.
The FA(3) format is mandatory from 2026 and is the only format accepted by KSeF. The XML contains all invoice data in a machine-readable structure - from counterparty details to line items and amounts.
KSeF does not accept invoices in PDF, Word or Excel.

Is the KSeF invoice generator free?
The tool is free within a shared limit of 2 free-tool uses per 24 hours. A KSeFGPT account has separate features and limits defined by its plan.
Which file format does the tool generate?
The tool generates XML using the FA(3) structure used by KSeF. Creating the file does not yet issue an invoice in the system or confirm its acceptance.
Does the generator send the invoice to KSeF?
No. The free generator prepares an XML file. Send it through an app connected to KSeF, such as KSeFGPT, with the appropriate company permissions.
What data do I need to prepare an invoice?
Prepare the seller and buyer details, identifiers required for the transaction, invoice number, dates and line items with quantities, prices and VAT rates. Complete the required form fields and check the totals.
Does the generator support zero rates and VAT exemption?
The form provides the VAT rates and designations supported by the tool. Select the value appropriate for the transaction and complete any required additional details. Selecting a designation does not itself confirm eligibility for exemption.
Does the generator save my invoice history?
The free generator does not provide document history. Download the prepared file. Invoice history and further invoice management are available in a KSeFGPT account within your selected plan.
How do I upload the generated XML to KSeF?
Check the XML and import it into software that supports sending to KSeF. In KSeFGPT, sign in, connect the company to KSeF, import the document and check its data before sending. Then verify the status and UPO receipt.
