Preparing XML, reading an invoice and sending it to KSeF are separate tasks. Public tools help with selected operations on a file. Sending, document history and working with company invoices require an account connected to KSeF and the appropriate permissions.
Where AI helps with invoices
AI can read data from a PDF invoice and help prepare XML. The result depends on document legibility. Compare party details, line items, dates, VAT rates and amounts with the original. Not every check needs AI: verifying a NIP checksum is a mathematical calculation.

From a file to an invoice in KSeF
Check the data and validate the XML first. The converter itself does not send invoices. Use software with the required access or the KSeFGPT app after signing in and connecting to KSeF. KSeF confirms whether the document is accepted.
Download and check the XML, then use software connected to KSeF, such as KSeFGPT. You need access and permission to issue invoices for the company concerned. After sending, check the status and UPO receipt.

Which PDF files are supported?
You can upload a PDF invoice from accounting software or a scan saved as a PDF. Extraction quality depends on how legible the document is. For a poor scan, prepare a clearer copy.
What if AI reads the data incorrectly?
Compare the preview with the original. If the result contains an error, edit the data where the tool allows it or convert a clearer file again. You can also enter the data manually in the invoice generator.
Does the generator send the invoice to KSeF?
No. The free generator prepares an XML file. Send it through an app connected to KSeF, such as KSeFGPT, with the appropriate company permissions.
Will the validator detect an invalid NIP?
The tool checks the NIP length and checksum, among other things. A mathematically valid result does not confirm that a company exists, its VAT status or whether the number belongs to the intended counterparty.
Can I send the PDF to a counterparty?
Yes, as a readable visualization of invoice data. PDF does not replace structured XML in KSeF. Before sharing, check the requirements for your situation, including any labels and QR codes.
