Summary

Consider a subscription if you want a modest upfront payment and a service maintained by its provider. Buying a licence may suit a business with an established sales or inventory system. In either case, check the cost of updates and continued KSeF connectivity.

A single payment, a perpetual licence and installation on your computer are three different things. Annual prepayment does not provide perpetual access, and buying software does not necessarily include future online services.

Compare the full requirement: sales invoices, incoming invoices, accountant collaboration and the CRM you actually need. Then calculate one-year and three-year costs and establish how you will retrieve your data when the agreement ends.

The purchase price is only the start

Two offers may look similar: one quotes a monthly fee and the other a single licence price. The difference becomes apparent when updates need renewing, another seat is required or you try to retrieve data after cancellation. This guide helps you read those terms before purchasing software for Poland's national e-invoicing system, KSeF. We checked the offers on 18 September 2026. The publisher is KSeFGPT, one of the providers discussed; this is a comparison of stated product terms, not a quality benchmark.

How do subscriptions, prepayments and licences differ?

A subscription pays for access to a service or specified features for a defined period. A perpetual licence provides the right to use software without a predetermined end date, within the agreement's terms. It does not promise free software development for the entire life of your business.

Duration: establish when access or entitlement to updates ends.

Payment: determine whether the monthly price is an actual monthly bill or an equivalent amount calculated from prepayment.

Installation: separately establish who maintains the application, database and backups.

Locally installed software can have a subscription, while a browser-based service can be paid annually. Installation alone does not establish offline functionality or continued KSeF connectivity. These distinctions help you read real offers correctly.

What do actual provider terms show?

The InsERT nexo licence terms separate updates and additional features from the licence itself. The manufacturer lists KSeF support among features available only with Abonament, its subscription service. A purchase decision must therefore include continued access to those features.

The official store prices a single-seat Subiekt nexo licence at PLN 765 net, or PLN 940.95 including VAT. The manufacturer describes three months of after-sales care included with the purchase. This is a licence purchase price, not the complete cost of three years of KSeF use. The example illustrates separate charges; it does not establish feature equivalence with subscription products.

Upfront payment: IFIRMA Faktura+ is PLN 150 net per year, equivalent to PLN 12.50 per month.

Purchase channel: Fakturownia describes a 12-month minimum for Start on the web and six months for other plans; monthly purchase through its mobile app has separate terms.

No commercial fee: the Ministry of Finance's Taxpayer Application supports issuing and receiving invoices without a commercial subscription. A software fee is not a government charge for using KSeF.

How do you compare one-year and three-year costs?

The following calculation is an illustration, not an offer from KSeFGPT, InsERT or another vendor. It assumes equivalent required features, unchanged prices, no additional seats and full years of use. Subscription A costs PLN 99 net per month with no setup fee. Licence B costs PLN 1200 net, setup costs PLN 600 and maintenance costs PLN 300 each year, including year one.

Purchase and launch: the licence and setup are upfront expenses.

Ongoing operation: add periodic fees, updates and necessary modules.

Additional requirements: include servers, backups, support, quota overages and migration if the offer requires them.

In this model the subscription is still PLN 24 net cheaper after two years. After three years the licence is PLN 864 net cheaper. An additional required module can reverse the result. If maintenance alone rises to PLN 700 rather than PLN 300 annually, the licence would cost PLN 3900 net over three years. Planned duration alone is therefore insufficient.

The table shows cumulative expenditure, not the first payment. At an illustrative 23% VAT rate, the three-year totals including VAT are PLN 4383.72 for A and PLN 3321 for B. These are cash outflows; VAT deductibility depends on the business's circumstances. After calculating the price, check what remains available when the agreement ends.

What should you establish about updates and cancellation?

Ask the provider to confirm the terms you need in writing before purchasing. A price-list statement about updates may not explain support for older versions, technical assistance, export formats or additional integration services.

Updates: who provides adaptations to KSeF changes, and are they included in the selected plan?

Renewal: what are the next-period price, minimum commitment and cancellation deadline?

Data: which formats and records can you export, and until when?

Responsibility: who creates backups and restores data after a failure?

An export trial should include relationships between records and the documents your accountant needs. In CRM, check contacts, notes, opportunity stages, tasks and deadlines separately. A contact list is not the whole relationship history. Do not assume every application offers identical exports or read-only access after payments end.

Which purchase model fits a small business?

A new services business without its own server can start with a monthly service if it supports the complete required process. During the trial, prepare an invoice, check incoming invoices and work through accountant access. A modest upfront payment is valuable when it does not conceal a long commitment.

A shop with working inventory management and established local software should first price continued maintenance and KSeF support. Moving solely to change the billing model can introduce extra work and expense. An already purchased licence is no reason to ignore future renewals, however.

If the products differ significantly in scope, pause the calculation and revisit requirements. Choosing KSeF software for a small business should come before choosing the cheapest way to pay for it.

When does KSeFGPT CRM affect subscription value?

A services business may need customer notes, sales opportunity stages and tasks with deadlines alongside invoices. KSeFGPT CRM covers these areas. Starting an invoice from a counterparty card fills in buyer details; line items, dates and payment information still need entering or checking. This does not automatically turn a won opportunity into an invoice.

According to the catalogue checked on 18 September 2026, Medium at PLN 99 net per month includes up to 10 opportunities and 10 tasks, while Pro at PLN 499 net per month lists CRM without limits. If CRM genuinely replaces another paid tool, include the discontinued subscription in your comparison. Do not count unused features as savings or assume competing products lack CRM.

KSeFGPT offers a 7-day PRO trial followed by the need for an active paid plan. Compare the features used during the trial with the plan you intend to buy and check current pricing.

Does a one-time licence include KSeF without a subscription?

The licence name alone does not establish this. The right to use software, updates and KSeF connectivity can have separate terms. InsERT lists KSeF support among nexo features available only with its Abonament service. Check the terms of the specific product before buying.

Is an annual subscription a perpetual licence?

No. Paying for a year provides access for a defined period. For example, IFIRMA Faktura+ costs PLN 150 net per year according to its price list checked on 18 September 2026. PLN 12.50 per month is the equivalent monthly amount, not the price of perpetual access.

Does locally installed software work without the internet?

Local installation does not establish this. KSeF connectivity and other online services require a connection at the relevant stage. Check offline availability for the particular operation and product; it does not follow from paying once.

How do I calculate the three-year cost of KSeF software?

Add the purchase, setup, all 36 months of fees, updates, necessary modules, seats, backups and any data-export costs. Compare the same required workflow. A cheaper licence does not necessarily mean cheaper ongoing operation.

What happens to invoices and CRM data after a subscription ends?

The provider's terms determine this. Before cancelling, confirm export deadlines and formats for invoices, contacts, notes, opportunities and tasks, as well as any read-only access. Access to invoices in KSeF does not replace access to the full CRM history or other application data.

Does KSeFGPT offer a one-time licence?
