Written procedure
What you will do
You will send an organization invitation to a specified email address and select the groups that grant the user permission to work with the company data.
The invited person will then sign in or create an account with the same email address and accept the invitation. Only then does the pending invitation become an active membership and the organization name appear in their account.
Requirements
Before you start
KSeFGPT does not add a new member without their participation. You create the invitation first, and the user confirms that they want to join the organization.
| Item | Requirement |
|---|---|
| Inviter access | The organization owner or a member with the organization:invite permission. |
| Organization | An organization created for the correct company. Select that company in the account switcher before you start. |
| Email address | The exact address that the invited person uses or will use to register with KSeFGPT. |
| Permission group | At least one existing group with the access this user needs. If the correct group does not exist, create it first under Groups. |
| Plan limit | An available place within the invited member limit. A pending invitation also counts towards the limit. |
| Starting point | After signing in, select the correct company and then open Organization → Settings. |
| Time required | About 2 minutes for the inviter, plus the time the recipient needs to accept the invitation. |
Open the organization for the correct company
In the account switcher, select the company to which you want to add the user. Then select Organization in the main navigation.
The Users card shows the owner, active members, pending invitations, and limit usage. The Invite button is visible only to users with permission to invite people.
Select Invite
Select Invite in the upper-right corner of the Users card. The Invite a user form opens with the Email address field, a list of Groups, and information about invited member limit usage.
If the plan limit has been reached, the submit button remains disabled and you will see The invited member limit for this plan has been reached.
Enter the email address and select groups
In Email address, enter the address the user will use to sign in to or register with KSeFGPT. Check it before sending—the invitation will be visible only in the account associated with that address.
Under Groups, select one or more groups. KSeFGPT displays the number of members and permission identifiers for each group. Select only the access this person needs for their work.
The selected groups are assigned when the invitation is accepted. You cannot edit a pending invitation; if you selected the wrong group, revoke the invitation in the user list and send a new one.
Send the invitation
Select Invite at the bottom of the form. Once it has been saved, Invitation added appears and the form closes.
The email address appears in the Users list with the Invited badge and the date it was sent. This status confirms that the invitation was created, but the user does not yet have access to the company.
Ask the user to accept the invitation
The invited person signs in to KSeFGPT using the same email address. If they do not have an account, they first create one with the invited address.
On the Dashboard or at the top of Organization, they find Pending invitations and the correct Invitation to join. Selecting Accept completes the process; KSeFGPT displays Joined the organization.
After acceptance, the organization name appears in the user's account switcher. Available modules and operations depend on the groups assigned when the invitation was sent.
Final state
Check the result
As the owner, return to Organization → Settings and check the Users card. Once the invitation is accepted, the Invited badge disappears, the Invited counter decreases, and the Members counter increases. The groups assigned to the user are displayed next to their email address.
In the new member's account, the organization name is available in the account switcher. After selecting it, the user can open only the modules and perform only the operations allowed by their group permissions.
Diagnostics
If something does not work
Compare the displayed status or message with the table below.
| Symptom | Likely cause | What to do |
|---|---|---|
| Invite is not visible | Your account does not have the organization:invite permission for the selected company. | Ask the owner or a group administrator to grant permission to invite users. |
| Invalid email address appears | The entered address is not in a valid format. | Correct the address in Email address and select Invite again. |
| This email already belongs to the organization appears | The user is already a member or has a pending invitation. | Find that address in the Users list. Do not send another invitation. |
| The member limit message appears | Active members and pending invitations have used all places available under the plan. | Revoke an obsolete pending invitation, remove an unnecessary member, or change the plan before trying again. |
| The user cannot see the invitation | They signed in with a different address from the one specified in the invitation. | Compare the address in the Users list with the recipient's account address. If it is incorrect, revoke the invitation and send it to the correct address. |
| The user cannot open a required module after accepting | The assigned group does not include the required permission, or the invitation was sent without a group. | On the Users card, add the active member to the correct group or update the group permissions under Groups. |
What next
Under Groups, check the new member's access. Changes to group permissions take effect immediately for every member assigned to that group.
Under Activity, you can confirm that the invitation was sent and accepted and review later actions performed by organization members.
You can also learn about sharing company data, permissions, and limits on the Organizations module page.
