Written procedure
What you will do
You will create a new conversation in Chat, assign it to the correct company, and start a KSeF session using a configured token or certificate.
You will then ask the AI Assistant a specific question. For example, you can request an explanation of a 2026 individual tax ruling, ask how to correct an invoice, analyze a KSeF error, or summarize your own invoices.
Requirements
Before you start
Chat works in the context of the selected company. Before creating a conversation, make sure the company has been added to KSeFGPT and has an active KSeF authentication method.
| Item | Description |
|---|---|
| Access | An active plan that includes Chat. An organization member needs the chat:use permission. |
| Company | At least one company added to the account or shared through an organization. |
| KSeF authentication | A token or certificate assigned to the selected company. |
| Information for your question | For a tax ruling, have its reference number and date ready. For an invoice, prepare its own number, KSeF number, date range, or the error message, depending on the issue. |
| Starting point | After signing in, select Chat in the main KSeFGPT navigation. |
| Time required | About 2 minutes, depending on the KSeF connection time and the complexity of your question. |
Open Chat
After signing in, select Chat in the main navigation. If you do not have any conversations yet, the Start Your First Chat screen appears. Select Create new conversation.
If the Recent list already contains conversations, select New conversation at the top of the left panel. Both buttons open the same form.

Select a company and name the conversation
In Company, select the business whose data the conversation should use. If the company has both a token and a certificate, also select an Authentication Method. When only one method is available, KSeFGPT displays it automatically.
In Name, enter a clear subject, such as 2026 tax rulings and corrections. Description is optional. Select Create.
Create remains unavailable if you have not selected a company, entered a name, or configured a KSeF token or certificate for that company.

Wait for the KSeF connection
After creating the conversation, KSeFGPT starts signing in to KSeF for the selected company. Wait until the conversation confirms that the KSeF sign-in was successful.
The message field becomes available once the session has been established. If the connection takes longer than usual, wait for the result. Refresh the page if the app reports that the connection was lost.

Ask a specific question
Select Ask me anything about invoices... and enter one specific request. Include the date range, document type, tax ruling reference number, or error message, and state what you want the answer to contain.
When asking about a tax ruling, provide the complete reference number. This lets the Assistant find the correct document instead of inferring its content from the number alone. Send the message with the arrow button on the right of the field.
| Topic | Example question for the AI Assistant |
|---|---|
| 2026 individual tax ruling | Explain individual tax ruling 0114-KDIP1-1.4012.365.2026.1.MM of July 10, 2026. Separate the applicant's question, the applicant's position, the Director of National Tax Information's ruling, the reasoning, and the practical takeaway. Cite the source and explain who is protected by this ruling. |
| Change of payment due date | The invoice was accepted by KSeF, but the payment due date changed after it was issued. Is a corrective invoice required? Distinguish an error that existed on the issue date from a later change in the parties' arrangements and list the information I should check. |
| Correction of an amount or line item | An invoice with a KSeF number contains the wrong price for one line item. How should I prepare the correction in FA(3), how should I link it to the corrected document, and which values should be shown as differences? Cite your sources. |
| Your own invoices | Summarize incoming invoices for July 2026 and give the number of documents and the net, VAT, and gross totals. At the end, state the date range and currency used. |
| KSeF rejection error | Explain this KSeF rejection message: [paste the error code and message]. Identify the likely FA(3) field, the data I should check, and an official source. |

Check the answer and refine your question
Check whether the Assistant used the correct company, date range, invoice type, and currency. For a tax ruling, compare the reference number, date, facts described, ruling, and cited source.
If the answer lacks a basis or its scope is unclear, write in the same conversation: Cite the exact source and list the assumptions on which your answer is based. The Assistant retains the context of the current chat.
As a rule, an individual tax ruling protects the applicant in relation to the facts they described. The Assistant's answer helps you gather information, but it does not replace an accounting or tax assessment or comparison with the source document.

Final state
Check the result
The new chat is working if it appears in Recent, the conversation confirms a successful KSeF sign-in, and an answer related to your topic appears below the question you sent.
For a tax ruling, the answer should provide the correct reference number and source or clearly state that the document was not found. For your own invoices, check that the result concerns the company selected when the conversation was created.
When the connection expires, the app displays KSeF session ended. The history remains in the list, but create a new chat before asking further questions.
Diagnostics
If something does not work
Compare what you see with the cases below and follow the suggested action.
| Symptom | Likely cause | What to do |
|---|---|---|
| You cannot open Chat | Your plan does not include Chat, or an organization member does not have the chat:use permission | Check the account plan. In an organization, ask the owner to grant the chat:use permission. |
| You see No companies | No company has been added to the account or shared through an organization | Go to settings, add a company, and return to Chat. |
| You see No credentials configured | The selected company has no KSeF token or certificate | Add an authentication method in the company settings, then create the conversation again. |
| Connecting to KSeF takes longer than usual | The KSeF servers may be busy | Wait for the result. If a connection lost message appears, refresh the page. |
| The message field is unavailable | The session has not been established yet or has already ended | Wait for the sign-in confirmation. After KSeF session ended appears, create a new chat. |
| The Assistant did not find a tax ruling by its reference number | The reference number contains an error or the document is not in the knowledge base | Check the reference number in the original Eureka record from the Polish Ministry of Finance and send the corrected number. Do not draw conclusions from the structure of the reference number alone. |
What next
Read the analysis of changing a payment due date and correcting an invoice in KSeF to compare the conclusions from the July 10, 2026 ruling with earlier positions.
If your question concerns correcting an accepted document, see Corrective invoice in KSeF. You can find more use cases on the Chat module page.
